INSECTORAMA – Rules and regulations 2015
GENERAL INFORMATION :
The Insect Fair will take place on 25 October 2015 from 9.00 to 4.00*, and will be held in the Sports Hall of
Athénée Royal « Air Pur », 1 rue des Nations-Unies, 4100 Seraing, Belgium.
* Exhibitors will be given access to the Hall from 7.00 to put up their stands.
Entrance fees :
Free for children under 12.
Cafeteria with drinks and food on site.
TERMS AND CONDITIONS (EXHIBITORS) :
The number of « exhibitor » badges per registration is linked to the length reserved :
from 1 to 2 meters :
2 badges maximum.
from 3 to 5 meters :
3 badges maximum.
6 meters and more :
4 badges maximum.
Any additional exhibitor will have to pay entrance fees as a visitor.
Reservations can be made :
- either per post (using the enclosed registration form)
- or per e-mail at the following address: firstname.lastname@example.org.
in case of an e-mail reservation, make sure you mention all the required information as on the
On arrival you will be asked to produce and sign your registration form (already filled in).
Payment can either be made cash on the day of the fair, (you’ll be asked at the entrance or before you
start displaying your material) or prior to the fair by bank or post transfer to the following account :

As a reminder, the organizers will attribute the placements according to :
the receipt of the reservations,
the good flow and organization on the premises
the demands of the exhibitors (if possible!).
Be aware that the number of available placements is limited, so only the booking order will decide on
the acceptance of an exhibitor or not.
Unless stated otherwise, and out of respect for the last visitors, exhibitors are requested not to
dismantle their stands before 15.30.

RULES AND REGULATIONS :
The entomological fair « Insectorama » entails the sale and exchange of insects, arachnids and
myriapods, whether naturalized (stuffed / preserved) or alive.
By extension, the material for breeding, hunting, collecting and studying them is also allowed as well as
documents (books, magazines…) dealing with the study of insects.
It is therefore STRICTLY FORBIDDEN for participants to display or sell items that do not satisfy the
criteria mentioned above.
Examples : reptiles, amphibians, mammals (such as naturalized bats…), plants… etc.
The sale (or exchange) of protected species (cf appendix) is also STRICTLY FORBIDDEN*.
* For the protected species under the Washington Convention, the sale is allowed if the restrictions
imposed by this legislation are respected.
The organizers reserve the right to check whether the displayed and/or sold merchandise satisfy the
prescriptions of the items mentioned above.
If the displayed merchandise doesn’t satisfy these prescriptions, we will require it to be withdrawn
straight away. In case an exhibitor should refuse to do so, we will reserve the right to close the stand
immediately (and without any refund), and we will refuse any further participation.
Prices should be clearly indicated in Euros.
Any specimen that would have been repaired will have to be signaled.
Any exhibitors bringing in living material will obviously have to make sure no animal will be able to
escape. They remain responsible for any potential consequences and the organizers’ responsibility
can’t ever be questioned.
The organizing committee refuses to accept any responsibility for any accident, theft or damage within
or near the premises / exhibition hall.
All exhibitors are supposed to be in order with the legislation relating to the commerce and import of
merchandise. The organizers also refuse to accept any responsibility for that matter.
