Chairing Team of the French-German Section Meeting 2017
The French-German Cooperation Committee (F.G.Coop.Com.) is looking for a Main Chair and Vice Chair
for the next FGSM (French-German Section Meeting) 2017.
For what? THE coolest bi-national ESN Event for French and German ESN sections!
When? From 23rd of March to 26th, save the date!
Where? In Belfort-Montbéliard with a very motivated ESN section!
Both positions of the Chairing Team are available for any ESNer willing to be part of the organisation of
the event. The CT will work with the F.G.Coop.Com. and the OC (Organisation Committee).
Tasks of the Main Chair
Disseminating information to the participants and being point of contact for them
Creating the agenda together with the F.G.Coop.Com.
Time management of presentations (ensure topics do not exceed their time)
Moderating the event
Tasks of the Vice Chair
Assisting the Main Chair with the agenda compilation
Being in contact with the OC for technical equipment and support
Being point of contact for small session and workshop holders (ensure that hand-outs are
printed and material e.g. flip charts, pens, etc. are provided and that the rooms accommodate
the specific requirements)
Take minutes for the duration of the event
Assisting the Main Chair with preparation of the meeting report for the sections
Find detailed tasks of the Chairing Team below (p. 2).
English proficiency (especially written skills for taking notes)
He/She should be available from 23rd to 26th of March and be able to spend some time one month
before and two weeks after the FGSM.

Missions of the Chairing Team
The Chairing Team (CT) is composed by a Main Chair and a Vice Chair. This team has to prepare the
training sessions and make sure that the plenaries are running well.
1 - 2 days before
Contact with the OC
Skype meetings with F.G.Coop.Com. and OC
Read the agenda
Identify needed equipment
Meet the OC and F.G.Coop.Com.
Visit the place of the platform
Test the equipment
Arrange the sessions in the rooms
Test and sort the presentations
Make lists of distributions of participants
Print agenda, awards, and documents that may be
requested by trainers
Take the minutes during plenaries
Stay informed about the informal program,
prepare OC’s speech
Present speaker before he/she starts
Inform the speaker about the speaking time
Organise and control the debate
Write the minutes
Debrief with OC & F.G.Coop.Com.
