FACC-Chicago Office Manager
Job Description and Responsibilities
The mission of the French-American Chamber of Commerce of Chicago is to develop and promote a thriving
economic relationship between the United States and France, as well as to serve the ongoing business needs of
individual and corporate members throughout the greater Chicagoland area. The FACC achieves these objectives
by facilitating information sharing, networking and by offering international business services.
Administrative work
 Answer FACC phone; relay messages
 Reply to information@facc-chicago.com emails or forward to other staff members when appropriate
 Add new contacts to database and electronic mailing list; monitor bounced-back emails; complete appropriate
follow-up
 Update back-end of website
 Take minutes at Board Meetings
 Monitor office supplies







Membership
Explain Chamber services and membership to members, potential members
Enter new members in database, online directory, email distribution list
Create monthly membership reports, including information on payment status
Conduct follow-up for members due for renewal by phone, email
Train & help monitor interns/volunteers for project-based work

Printed Directory
 Contact all members; update information as needed
 Sell advertisements
 Proof all drafts of directory content; coordinate with graphic designer
Commercial Services
 Provide phone service to hosted companies on demand (2 companies currently)
 Sort mail for hosted companies; complete appropriate follow-up for tenants
 Help create ad hoc presentations (in French) for Executive Director’s Journées Pays
 Create monthly newsletter for the Conseil Général 92 in France, highlighting economic activity of interest to a
French readership (more information under “Newsletter”)
Events
 Take RSVPs for all events (Monthly Members Luncheons, Professionals Networking, Business Breakfast
Seminars)
 Add events to FACC calendar, partner organization/media calendars (more information under “Press/Outreach”)
 Create marketing materials; monitor responses in Constant Contact; encourage event attendance
 Record keeping after events
 Generate post-event surveys & compile data
 Recruit donors for Passport to France, La Nuit des Etoiles auctions
 In collaboration with Executive Director, recruit & organize presenters for Business Breakfast Seminars
 Assist in organization of Bastille Day, engaging French organizations & public

Newsletters
 Request content from outside organizations; find content in American/French publications; engage with members
& FACC National Network in order to create 3 monthly newsletters: Les Dossiers de la Chambre (English),
France-USA Express (French), CG92 (French)
 Work with volunteer to manage translations (France-USA Express & CG92)
 Gather & compile up-to-date economic data on Chicagoland (all)
 Complete layout in Constant Contact (all)
 Ensure newsletter is sent by deadline (all)
 Recruit new advertisers (Les Dossiers de la Chambre)
Accounting
 Manage all accounts receivables in QuickBooks
 Follow-up to assure open invoices are paid
Press/Outreach
 Expand press lists for organization & event visibility
 Attend outside events & represent FACC to promote FACC membership & events
 Draft press releases for large annual fundraisers
REQUIRMENTS:
 Bachelors degree
 1-2 years minimum professional experience
 Excellent written & oral English communication skills; phone etiquette
 Proficient in Microsoft Office programs & social medias
 Written & oral French language skills
 Ability to interact professionally with members & executives
 Knowledge of the following programs is a plus: QuickBooks, ACT by Sage, Constant Contact
